Shepshed RC is a privacy conscious organisation and is strongly committed to your right to privacy. That is why we have drafted a Privacy and Data Protection Statement, which follows guidelines set out in the Data Protection Act 1998.
The Data Protection Act 1998
The Data Protection Act 1998 came into force on 1 March 2000. It set rules for processing personal information and applies to structured paper records as well as data held on computers. Since the Freedom of Information Act 2002 came into force on 1st January 2005, the provisions of the Data Protection Act 1998 will apply to all records, collected in order for Shepshed Running Club to organize our annual race.
How does the Data Protection Act affect Shepshed RC?
The Data Protection Act states that those who record and process personal information must be open about how the information is used and must follow the eight principles of ‘good information handling’.
These principles state that data must be:
- Fairly and lawfully processed
- Processed for limited purposes
- Adequate, relevant and not excessive
- Accurate
- Not kept for longer than is necessary
- Processed in line with your rights
- Secure, and
- Not transferred to countries without adequate protection.
- By law, data controllers, including Shepshed RC, have to keep to these principles.

How does Shepshed RC collect data?
Shepshed RC collects personally identifiable data, through the Shepshed 7 race application form
All personally identifiable information provided to Shepshed RC is processed in accordance with the principles of the Data Protection Act 1998.
Is information passed to third parties?
It is Shepshed RC policy NOT to disclose information to third parties unless explicitly required to do so under UK Law.
Shepshed RC does NOT collect or compile personally identifying information for dissemination or sale to external parties for marketing purposes or host mailings on behalf of third parties
What does Shepshed RC use the information for?
Shepshed RC only use the information to;
- Organise the Shepshed 7 race by sending out race numbers and pertinent information?
- Generate the results for the Shepshed 7 annual race. Held annually on the 1st Sunday in November. This includes storage of previous years entrants’ details to facilitate future years data entry.
- Generate a list of prize winners detailing the runners name and affiliated running club.
- Produce some basic analysis of who has run in the Shepshed 7 Race. For example, how many local runners, how many affiliated runners etc.
- Promote the following years Shepshed 7 event by use of email and post.
When a runner enters the race they are agreeing to Shepshed Running Club to use the information on the form to carry out the tasks 1, 2, 3 and 4 as detailed above.
Shepshed RC use a bulk mail client which allows the runner to opt out of the emails to promote the following years races (Point 5).
